Job Summary
The Tender Coordinator is responsible for managing the tendering process, from identifying opportunities to preparing and submitting high-quality proposals. The role requires excellent organizational skills, attention to detail, and the ability to coordinate between multiple departments to ensure timely and compliant tender submissions.
Key Responsibilities
- Tender Management:
- Identify and assess relevant tender opportunities from various sources.
- Analyze tender requirements, scope, and eligibility criteria.
- Prepare bid/no-bid analysis and recommendations.
- Proposal Preparation:
- Coordinate and compile all necessary documentation for tenders.
- Ensure compliance with client requirements and industry standards.
- Work closely with internal teams (sales, finance, legal, technical) to gather relevant inputs.
- Draft and edit tender documents, ensuring clarity and accuracy.
- Liaison & Coordination:
- Communicate with clients, suppliers, and stakeholders for clarifications and additional information.
- Maintain strong relationships with key stakeholders to improve bidding success.
- Collaborate with project managers and business development teams to align tender strategies.
- Compliance & Documentation:
- Ensure all tender submissions comply with legal, financial, and technical requirements.
- Maintain accurate records of tender submissions, contracts, and related documentation.
- Monitor and update databases related to tenders and contracts.
- Post-Tender Activities:
- Follow up on submitted tenders and track outcomes.
- Provide feedback and insights on successful or unsuccessful bids.
- Assist in contract negotiations and project handovers when necessary.
Key Skills & Qualifications
- Bachelors degree in Business Administration, Procurement, Supply Chain Management, or a related field.
- Proven experience in tender coordination, procurement, or bid management.
- Strong knowledge of tendering procedures and documentation.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and tender management software.
- Ability to work under pressure and meet strict deadlines.
- Attention to detail and high level of accuracy.
