Job Summary:
We are seeking a dedicated and efficient Receptionist to join our team at Nxtwave. The ideal candidate will be the first point of contact for visitors, responsible for creating a welcoming environment, managing front desk operations, and ensuring the smooth running of our recreational area and housekeeping services. This role also involves maintaining the first aid kit and providing immediate assistance to students in need.
Key Responsibilities:
Visitor Registration:
• Greet and welcome visitors promptly and courteously.
• Register visitors, issue visitor passes, and direct them to the appropriate person or department.
• Maintain accurate records of visitors by updating the visitor logbook.
Mail and Package Management:
• Receive, sort, and distribute incoming mail and packages.
• Prepare outgoing mail and packages, ensuring timely dispatch.
• Coordinate with courier services for pickups and deliveries.
Recreational Area Maintenance:
• Oversee the cleanliness and organization of the recreational area.
• Ensure that equipment and facilities in the recreational area are in good working condition.
• Address any issues or maintenance needs promptly.
Housekeeping Management:
• Supervise housekeeping staff to ensure all areas of the academy are clean and well-maintained.
• Schedule and manage housekeeping duties and shifts.
• Conduct regular inspections to ensure high standards of cleanliness.
First Aid Kit Management:
• Maintain and restock the first aid kit, ensuring all necessary supplies are available.
• Keep records of usage and ensure compliance with health and safety regulations.
Student Assistance:
• Provide first aid assistance to students when needed.
• Be a point of contact for students seeking help or reporting issues.
• Coordinate with medical professionals or emergency services when necessary.
Qualifications:
• High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
• Proven experience as a receptionist, front office representative, or similar role.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Attention to detail and problem-solving skills.
• Ability to work independently and as part of a team.
• Familiarity with first aid practices and willingness to undergo first aid training.
