Job Overview:

The Accounts and Indirect Purchasing Coordinator is responsible for managing financial transactions related to accounts payable and purchasing processes. This role ensures accurate record-keeping, timely payment processing, and effective procurement of goods and services, stock book keeping, co-ordination with team and analyzing how to reduce overall costing and contributing to the overall financial health of the organization.

Key Responsibilities:

1. Financial Oversight:

 Assist in the management of the day-to-day accounting functions, including accounts payable, accounts receivable, and general ledger activities.

 Ensure accurate and timely recording of financial transactions in accordance with company policies and accounting standards.

2. Reporting:

 Support the preparation of monthly, quarterly, MIS Reports and also annual financial statements and reports.

 Conduct financial analysis and assist in budget preparation and forecasting.

3. Compliance:

 Ensure compliance with tax regulations and financial reporting standards.

 Assist with internal and external audits by providing necessary documentation and support.

4. Process Improvement:

 Identify opportunities for process improvements in accounting practices and financial reporting.

 Implement and maintain effective internal controls.

 Create SOPs for differences types of Payments.

5. Procurement Management:

 Source and evaluate suppliers to ensure quality, cost-effectiveness, and timely delivery of goods and services.

 Issue purchase orders and follow up on order status to ensure timely fulfilment.

 Monitor inventory levels and anticipate purchasing needs to maintain optimal stock levels.

 Inventory Audits

6. Vendor Relations:

 Establish and maintain strong relationships with vendors to negotiate favourable terms and resolve any issues.

 Conduct supplier performance reviews and assessments to ensure compliance with quality standards.

7. Documentation and Reporting:

 Maintain accurate records of purchases, contracts, and vendor agreements.

 Prepare reports on purchasing activities, budget expenditures, and supplier performance for management review.

 Participate in cross-functional teams to optimize procurement processes.
