Position Overview: The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer, ensuring the efficient operation of the executive office. The ideal candidate must possess exceptional English communication skills, both written and verbal, and demonstrate strong organizational abilities. This role requires a proactive individual who can handle sensitive information with discretion and operate in a fast-paced environment.
Key Responsibilities:
Administrative Support:
Manage the CEOs calendar, schedule meetings, and coordinate appointments.
Handle all incoming and outgoing communications, including emails, phone calls, and correspondence.
Prepare and edit documents, presentations, and reports for the CEO.
Meeting Coordination:
Organize and coordinate meetings, including board meetings, executive team meetings, and external engagements.
Prepare meeting agendas, take minutes, and follow up on action items.
Travel Arrangements:
Arrange travel itineraries, accommodations, and transportation for the CEO.
Prepare travel expense reports and ensure timely reimbursement.
Project Management:
Assist the CEO in the planning and execution of special projects.
Track project milestones and deadlines, ensuring timely completion.
Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion.
Maintain the highest level of professionalism in all interactions.
Communication:
Serve as a liaison between the CEO and internal/external stakeholders.
Draft, proofread, and edit communications on behalf of the CEO.
Office Management:
Maintain an organized filing system for both paper and electronic documents.
Ensure the executive office is well-maintained and supplies are stocked.
Relationship Management:
Build and maintain positive relationships with key stakeholders, clients, and partners.
Facilitate effective communication between the CEO and various departments.
Qualifications:
Education: Bachelors degree in Business Administration, Communications, or a related field.
Experience: Minimum of 5 years of experience as an executive assistant, preferably supporting senior executives.
Skills:
Exceptional English communication skills (both written and verbal).
Strong organizational and time-management skills.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask and prioritize effectively.
Strong attention to detail and problem-solving abilities.
High level of discretion and confidentiality.
Excellent interpersonal skills and ability to work collaboratively.
