Job Description

The Planning & Billing professional is responsible for overseeing project planning, scheduling, cost estimation, and billing activities. This role ensures accurate project tracking, timely invoicing, and financial reconciliation while coordinating with internal teams and clients. The position requires expertise in project management, cost control, and financial documentation to maintain smooth project execution and compliance with contractual agreements.

Key Responsibilities:

1. Project Planning & Scheduling

  • Develop and maintain project schedules using planning software (e.g., MS Project, Primavera P6).
  • Coordinate with project managers and site teams to track project progress and forecast timelines.
  • Identify potential delays and recommend corrective actions to keep projects on schedule.
  • Optimize resource allocation and workload distribution.

2. Billing & Invoicing

  • Prepare client invoices based on project milestones, work completed, and contractual terms.
  • Ensure timely submission of bills and follow up on payments.
  • Verify and reconcile billing documents with site reports and contracts.
  • Coordinate with finance and accounts departments to streamline billing processes.

3. Cost Estimation & Budgeting

  • Assist in preparing project cost estimates and financial forecasts.
  • Monitor budget utilization and track expenses against planned costs.
  • Identify cost-saving opportunities without compromising project quality.

4. Documentation & Compliance

  • Maintain accurate records of work progress, billing reports, and financial transactions.
  • Ensure compliance with company policies, contractual obligations, and regulatory requirements.
  • Assist in audits and financial reconciliations related to project billing.

5. Coordination & Communication

  • Liaise with project teams, contractors, and clients for billing approvals and payment clearances.
  • Provide periodic reports on project progress, billing status, and financial performance.
  • Address client queries and resolve billing disputes efficiently.

Qualifications & Requirements:

  • Education: Bachelor’s degree in Engineering (Civil, Mechanical, Electrical) or Finance/Accounting (for financial roles).
  • Experience: 3-8 years in project planning, billing, or cost control roles.
  • Technical Skills:
  • Proficiency in MS Project, Primavera P6, or other project management software.
  • Knowledge of ERP systems for billing and financial management.
  • Strong understanding of contract terms, BOQs (Bill of Quantities), and invoicing processes.
  • Soft Skills:
  • Strong analytical and problem-solving abilities.
  • Excellent communication and coordination skills.
  • Attention to detail and accuracy in financial documentation.

Preferred Qualifications:

  • Certification in project management (PMP, PRINCE2) is a plus.
  • Experience in EPC (Engineering, Procurement, and Construction) projects is advantageous.
  • Familiarity with GST, taxation, and financial regulations related to billing.

Work Environment:

  • Office-based with occasional site visits.
  • Requires collaboration with project managers, finance teams, and clients.
